Important notice regarding text messaging data
GoodBookkeeping.com does not share customer opt-in information, including phone numbers and consent records, with any affiliates or third parties for marketing, promotional, or any other purposes unrelated to providing our direct services. All text messaging originator opt-in data is kept strictly confidential.
1. Information we collect
Information you give us
When you use the pricing calculator, book a call, or contact us, we collect:
- Your name, email address and phone number
- Your business name, where you provide it
- Any notes or questions you choose to send us
- The transaction-volume figures you enter into the pricing calculator — the number of bank and credit-card transactions over the last three months, whether you are a nonprofit, and whether you need receipt management
- Appointment details and preferences when you book a call
- Opt-in records and timestamps for SMS and email consent
The calculator figures are used to produce your estimate and to understand the scope of work. They are business volume numbers, not the contents of your accounts.
Information collected automatically
- IP address
- Device and browser information
- Pages viewed and how you move through the site
- The referring site or link that brought you here
- Campaign parameters in the link you arrived on —
utm_source,utm_medium,utm_campaign,utm_content,utm_term— andfbclid, the click identifier Meta adds to links from its advertising platforms
Campaign parameters are stored for the duration of your browser session only and are attached to an inquiry so we know which advertisement or link produced it.
Client records
If you become a client, we handle your financial records and supporting documents as part of delivering the engagement. Those records are treated as confidential, are used only to perform the work, and are never sold.
2. Why we use it, and our legal basis
- To produce a pricing estimate and respond to your inquiry — on the basis of your request and steps taken at your request before entering a contract
- To schedule, confirm and remind you about appointments — on the basis of your consent, and to perform our agreement with you
- To deliver bookkeeping services and meet our record-keeping obligations — to perform our contract with you and to comply with legal obligations
- To operate, secure and improve the website — on the basis of our legitimate interest in running a functioning, safe service
- To measure and improve advertising — on the basis of consent where required, and otherwise our legitimate interest in understanding which campaigns work
We do not use automated decision-making that produces legal or similarly significant effects about you.
3. How long we keep it
- Inquiries and calculator submissions that do not become clients: retained while the inquiry is live and for a reasonable follow-up period afterwards, then deleted or anonymized.
- Client records: retained for the life of the engagement and afterwards for as long as tax, accounting and other legal record-keeping obligations require. In the United States this is commonly seven years for financial records; some records are kept longer where the law requires it.
- SMS and email consent records: retained for as long as we message you and for a period afterwards, because we are required to be able to evidence consent.
- Website and advertising analytics: retained on the schedules operated by the providers named below.
4. SMS messaging and compliance
By opting into our SMS messaging services, you agree to receive text messages related to our services, including appointment reminders, customer support, and important updates.
Opt-in and consent
- You will only receive messages if you have explicitly opted in
- We maintain timestamped records of all opt-in actions
- We comply with the Telephone Consumer Protection Act (TCPA) and all applicable laws
Opt-out instructions
- You can cancel SMS notifications at any time by replying "STOP"
- You will receive a final confirmation message, and no further messages will be sent unless you re-opt in
- All opt-out requests are processed immediately
Message frequency and content
- Message frequency varies based on your interactions with our business
- Messages will be directly related to the services you have requested
- We do not send promotional content without specific consent

Carrier information
- Standard message and data rates may apply
- Carriers are not liable for delayed or undelivered messages
- Supported carriers include AT&T, Verizon, T-Mobile, and most regional carriers
SMS data protection statement
No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. Information sharing to subcontractors in support services, such as customer service is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
We implement strict data protection measures to safeguard your SMS opt-in information and consent records.
5. Sharing and third parties
We do not sell your personal information, and we do not share it for cross-context behavioral advertising in exchange for payment. We have never done so.
We use the following providers to run the business. Each processes information on our behalf under its own agreement with us:
- GoHighLevel — our customer relationship management and appointment scheduling platform. Inquiries, calculator submissions and bookings are stored here.
- Vercel — hosting and website analytics for this site.
- Meta — we run an advertising pixel on this site. See section 6.
- Intuit QuickBooks — the accounting platform in which client bookkeeping is performed.
Where a particular client engagement requires it, and only for those clients, we may also use Bill.com for accounts payable and bill payments, and Gusto or ADP for payroll. These are used with client approval as part of the agreed scope of work.
We may also disclose information:
- Where required by law, legal process, or a valid request from law enforcement
- To protect our rights, safety, or property, or those of others
- In connection with a merger, acquisition, or sale of assets, in which case your information remains protected under the terms of this policy
All of the above categories exclude text messaging originator opt-in data and consent; that information is not shared with any third parties, other than the aggregators and providers delivering the text messages themselves.
6. Cookies and tracking
We use cookies and similar technologies to:
- Analyze site traffic and understand how the site is used
- Remember your preferences
- Improve website functionality
- Measure the effectiveness of our advertising
Meta Pixel
This site runs the Meta Pixel. It records that a page was viewed, and records two specific actions: submitting the pricing calculator, and booking a call. Meta uses this to report on advertising performance and to build audiences for advertising. The pixel sets cookies from Meta's domain and may match activity to a Meta account where one exists.
GoHighLevel tracking
GoHighLevel runs its own tracking on form and booking submissions so an inquiry can be attributed to the visit that produced it. This is how the campaign parameters described in section 1 reach our CRM.
You can control cookies through your browser settings, and you can limit advertising tracking through your Meta account settings and through your device's advertising controls. Disabling cookies may limit some site functionality.
7. Security
We maintain reasonable administrative, technical and physical safeguards designed to protect personal information, including encryption of data in transit, access controls and authentication, restricted access on a need-to-know basis, and breach notification procedures in line with applicable law.
No method of transmission over the internet or method of electronic storage is completely secure. We use commercially acceptable means to protect your information but cannot guarantee absolute security.
8. Your rights and choices
Depending on where you live, you may have the right to:
- Know what personal information we hold about you and request a copy
- Correct inaccurate personal information
- Delete personal information, subject to our legal record-keeping obligations
- Opt out of the sale or sharing of personal information — we do not sell or share personal information, so there is nothing to opt out of, but the right exists
- Limit the use of sensitive personal information
- Not be discriminated against for exercising any of these rights
- Unsubscribe from marketing email at any time using the link in any message, and from SMS by replying "STOP"
California residents
Under the California Consumer Privacy Act as amended by the California Privacy Rights Act, California residents have the rights to know, delete, correct, opt out of sale or sharing, and limit the use of sensitive personal information, and the right not to receive discriminatory treatment for exercising them.
We do not sell personal information and we do not share it for cross-context behavioral advertising in exchange for payment. We do not knowingly collect or process sensitive personal information for the purpose of inferring characteristics about you.
You may exercise these rights, or have an authorized agent do so on your behalf, by emailing admin@goodbookkeeping.com. We will verify your request against the information we already hold before acting on it, and we will respond within the timeframe the law requires.
Other states
Residents of other states with comprehensive privacy laws — including Virginia, Colorado, Connecticut, Utah and Texas — have comparable rights of access, correction, deletion and appeal. Use the same address above and tell us which state you are writing from. If we decline a request, you may appeal that decision by replying to our response.
9. Children
This is a service for businesses. It is not directed to children, and we do not knowingly collect personal information from anyone under 13. Our SMS program additionally requires participants to be 18 or older. If you believe a child has provided us with personal information, contact us and we will delete it.
10. What we are not
GoodBookkeeping.com provides bookkeeping and financial record-keeping. We are not a CPA firm. We do not perform audits and we do not prepare or file tax returns. Nothing on this site is accounting, tax or legal advice. See our Terms & Conditions.
11. Third-party links
This site links to websites we do not operate. We are not responsible for their privacy practices, and this policy applies only to information collected by GoodBookkeeping.com.
12. Changes to this policy
We may update this policy from time to time. The current version is always available here with its effective date. Where a change materially affects how we handle your information, we will say so through a notice on this site or by email.
