Frequently asked questions

What an engagement includes, what it does not, and how pricing works. If your question is not here, email us.

What is included in a monthly bookkeeping engagement?
Monthly bookkeeping and bank reconciliation, weekly transaction categorization and receipt management, QuickBooks setup and ongoing maintenance, tax-ready financial reports, app integrations, a dedicated client portal, a monthly Zoom financial review, and year-end 1099 filing support. The full list, with what each item covers, is on the pricing page.
How does pricing work?
Pricing is a fixed monthly fee based on your transaction volume, not an hourly rate. The calculator gives you an estimate in about 60 seconds. That estimate is not a binding quote — final pricing follows a scope review covering actual transaction volume, account complexity, integrations and reporting needs. Your price is agreed before work begins.
Do you file my tax returns?
No. GoodBookkeeping.com is not a CPA firm. We do not perform audits and we do not prepare or file tax returns. What we do is produce accurate, tax-ready financials so your CPA or tax preparer has clean records to work from, and we are happy to work alongside them. See our Terms.
Do you handle customer invoicing?
No. Customer invoicing is outside our scope.
Can you run payroll?
Yes. We can prepare payroll using Gusto or ADP, which are our preferred platforms. This requires client approval and is agreed as part of your scope.
Can you pay our bills?
Yes. We can prepare accounts payable and bill payments using Bill.com. This requires client approval and is agreed as part of your scope.
Do you handle 1099 filing?
Yes. Year-end 1099 filing support is included, covering contractor 1099 tracking and end-of-year filings for up to 20 contractors. We have a full guide to 1099 filing covering thresholds, deadlines and penalties.
Our books are behind. Can you fix them first?
Yes. Cleanup of historic books is quoted separately from ongoing monthly work, so a backlog does not distort your monthly fee.
What accounting software do you use?
QuickBooks. We handle complete setup, chart of accounts optimization and continuous monitoring of your QuickBooks Online file. We also connect payment processors such as Stripe and Square to QuickBooks so data flows automatically.
What kinds of businesses do you work with?
Home health agencies, nonprofits, and owner-led service businesses.
Do I get to speak to a real person?
Yes. A monthly one-to-one Zoom financial review is included, to go through your numbers and discuss business performance. You also get a secure client portal to upload documents and ask questions.
Where are you based, and what are your hours?
GoodBookkeeping.com is based in Franklin, Tennessee, and serves clients across the United States. Our hours are Monday–Friday 8am–4pm.
Who actually does the work on my books?
Your bookkeepers are US-based. Every person you speak with about your numbers — your bookkeeper, your monthly reviews, your follow-up calls — is on the US team. You are not routed to a call center, and you are not handed between people who have not seen your books. The work is accountant-led: James Richardson, our Founder and Lead Accountant, is a chartered accountant by background who spent years as a Director at PwC before starting GoodBookkeeping.com. Every team member goes through the same training, compliance checks and qualified oversight. You can meet the team.
How is cleanup priced?
Separately from your monthly fee. Before any cleanup starts we review how far behind the records are and the transaction volume involved, and quote that work on its own. You see the number before we begin — it is never rolled into the monthly fee or billed as it goes.
We have more than one entity. How does that work?
Pricing is driven by total transaction volume across all the accounts we handle, so several entities are priced the same way one is — by the volume that actually moves through them. Enter the combined transaction counts for every account in the calculator and the estimate covers all of it. The scope review before your price is agreed is where we confirm how your entities are structured and what reporting each one needs.
Do you work with businesses based outside the United States?
Yes. Our systems and reporting are built around US accounting conventions and QuickBooks, and your bookkeeper works US business hours. We do take on businesses based outside the US where that setup fits how they operate — most often organizations with a US entity, US bank accounts, or US reporting obligations. Tell us where the entity is registered when you get in touch and we will confirm the fit before you commit to anything.
How does billing work, and am I tied in?
Bookkeeping is billed monthly. The specifics of any commitment, notice period and how either side ends the engagement are set out in the engagement letter you sign before work begins — that document governs the relationship, not this page. If a defined term matters to your decision, ask before you sign and we will put it in writing. See our Terms.
What happens between signing up and my first month being closed?
Four steps. First, a scope review to confirm your transaction volume, accounts and reporting needs. Second, your price and engagement letter agreed in writing. Third, access set up to your bank feeds, QuickBooks file and connected apps, and any historic records handed over. Fourth, your first monthly close, followed by the Zoom review where we walk you through the numbers. How long that takes depends on how quickly access and records reach us and whether cleanup is needed first — we give you a timeline once we have seen the scope.
How do I get started?
